WhatsApp Away Message for Tradesmen: Templates and Setup

By Traden · · 6 min read

A useful WhatsApp away message tells the customer which business they have reached, when you will review their enquiry and what to leave in the meantime. Keep it short, use a response window you can meet and make clear that a reply does not confirm a price or booking. Choose the schedule and recipients as carefully as the wording.

When you are fitting a kitchen, decorating a room or working through a repair, stopping to type every new reply may be impractical. An acknowledgement can explain the wait. You still need a way to review the conversation and answer the actual request afterwards.

This guide gives UK tradespeople four original away-message templates, a manual follow-up and a practical setup checklist. Replace the brackets before using any message.

A simple away message while you are on a job

Thanks for messaging [business name]. I'm working on a job and will check enquiries [realistic reply window]. For a new job, please leave a short description of the work and your postcode. I'll review the details before confirming whether I can help.

Use a window tied to your actual routine, such as “at my next enquiry check this afternoon”, if that is realistic. Avoid promising “within an hour” when your work regularly prevents it. If you cannot predict a review time, explain your usual enquiry hours instead.

Three more templates for different working patterns

Outside your enquiry hours

Thanks for contacting [business name]. I check enquiries [days and hours] and will review your message during the next enquiry session. For new work, please leave the job type and postcode. If this concerns an existing job, tell me which job and what you need.

Your enquiry hours can differ from your time on site. A decorator might work until late afternoon but set aside a separate time to review messages. Publish the routine you actually follow, rather than implying you offer live support throughout every working hour.

A planned break or holiday

Thanks for messaging [business name]. I'm away from [start date] until [return date] and will review enquiries after I return. You can leave a brief description of the work and postcode. I won't be arranging visits during this break.

Only use this if it describes your actual arrangements. If someone else is covering enquiries, explain their role and give an authorised contact route instead. Review the message when you return so customers are not still being told that you are away.

When your next available work is later

Thanks for your message to [business name]. I'm currently considering new work from [month or date]. Please leave the job type and postcode, and I'll review whether it fits the services I offer. Any visit date will be agreed separately.

This is for a genuine capacity limit, not a substitute for checking the diary. Update the date as availability changes. A customer asking about work already booked may need a different answer, so check who receives this message before enabling it.

Keep the wording useful

The GOV.UK guidance on writing messages recommends concise wording, important information first and clear next steps. Those writing principles work well for a trade enquiry too. The templates above are original examples, rather than a requirement to use a particular script.

Ask for only enough information to start. A long list of measurements, finishes and access questions can wait until you know what the customer wants. Our pre-quote questions checklist covers that later conversation.

A standard reply should not offer an unseen job at a fixed price, reserve a slot or imply that you have assessed a problem. If you do not provide emergency call-outs, say so clearly where relevant. An unattended chat should not be presented as an emergency response service.

Set up the away reply in WhatsApp Business

WhatsApp's official away-message instructions describe an automatic acknowledgement with timing and recipient controls. In the Business app, open Tools → Away message, enable it, edit the text, then choose the schedule and recipients and save. Check the linked instructions for your phone; the layout can vary.

The scheduling options are continuous sending, a chosen period or outside your saved business hours. The last option requires hours in your business profile. The device needs an active internet connection to send the reply.

For a planned morning on site, choose a period that matches it. For regular evening closure, check the saved hours. Avoid leaving a temporary message active indefinitely.

Meta's Business app feature guide also distinguishes away messages from quick replies: quick replies are saved shortcuts you select when responding. Saving wording as a quick reply does not make it send automatically.

Check regular customers and personal contacts

Recipient options cover all senders, unsaved contacts, selected exclusions or selected recipients. Choosing unsaved contacts also leaves out saved regular customers; choosing all senders can include personal contacts. Check which option matches your business use.

A returning customer may be asking about a new job, an agreed visit or a detail from previous work. Being in your address book does not tell you which. Keep these customers in your manual review routine even if they do not receive the generic acknowledgement.

If work and personal conversations share a number, avoid assuming that every incoming message is a job enquiry. Review the recipient settings and consider a dedicated business number. The away-message recipient setting is separate from any connected enquiry software's controls.

Review the enquiry when you are available

Set aside an enquiry check that fits your working day. Read what the customer has already sent before asking anything else. A postcode and a clear job description may already be there; asking for them again makes the reply feel inattentive.

A manual follow-up could be:

Hi [name], thanks for the details about [requested work]. I've now reviewed your message. Before I can confirm the next step, could you tell me [one missing detail]? I'll then check [scope, price or availability, as relevant].

Adapt it to the actual conversation. If you have enough information, answer the request instead of adding a question. If the work falls outside your services or area, say so promptly. Record the next action with the enquiry so it does not disappear beneath newer chats.

Test the whole conversation

  • Use a consenting test contact to check the intended schedule and recipient selection.
  • Read the reply on a phone: is the business, review window and next step clear?
  • Check a saved customer's route as well as a new contact's route.
  • If other reply software is connected, check what the customer actually receives. Choose which system handles the first response and adjust its settings.
  • Confirm you can find the enquiry and continue it manually afterwards.

Do not assume that two reply systems coordinate their messages. Repeated acknowledgements or conflicting review times can make the conversation harder to follow. Retest after changing your hours, away text or connected software.

Where Traden fits when an enquiry needs more than an acknowledgement

Traden can reply to suitable customer enquiries through WhatsApp Business and Outlook using your saved business details and the conversation. It can ask for missing job information and flag questions needing your judgement, with the context ready for you to respond.

You can pause automation or take over a conversation yourself. Review your services, working area, hours and pricing rules during setup so replies reflect how you work. Check bespoke prices and proposed dates against the actual request before agreeing them.

WhatsApp's app-level away reply has its own settings. Traden does not configure or synchronise those settings for you, so decide how you want the first response handled and test the combination before relying on it.
