Booking Confirmation Messages for Tradesmen: 6 Practical Templates

By Traden · · 6 min read

A booking confirmation message should state the agreed work or visit, full date, arrival time or window, location and how to report a change. Send it once you and the customer have agreed the slot. Add only the access or preparation details that matter, then record the same arrangement in your diary and job record.

A customer accepts your quote. You arrange a day over the phone, put it in your calendar and get back to work. Later, you wonder whether they understood the time, while your job list still shows an enquiry awaiting a reply.

One short confirmation and a consistent booking record can make that handover clearer. These original templates suit UK plumbers, electricians, decorators, builders, carpenters and other tradespeople. Replace every bracketed field and check the facts before sending.

Check what is actually booked before confirming

Accepting a quote and agreeing an appointment are separate steps in your admin. “Go ahead” may settle the customer's decision about the work while leaving the start date open. “Friday might work” is a suggestion to follow up, rather than a slot to announce as confirmed.

Before sending the message, check these five points against the current conversation:

  • Purpose: Is this a survey, an assessment, a repair visit or the agreed work? Name it accurately.
  • Time: Have both sides agreed the full date and an arrival time or window? Check your diary before offering it.
  • Place: Is the work at the customer's address, another site or your workshop?
  • Readiness: Is there a relevant arrangement still missing, such as who will provide access?
  • Scope: Does the booking match the latest agreed quote? Keep additional requests visible rather than folding them into the original job.

Keep the confirmation easy to scan on a phone. The GOV.UK Service Manual's message-writing guidance recommends putting important information first, being concise and giving clear next steps. Those writing principles are useful here; its government-specific instructions are not requirements for your trade business.

Six booking messages you can adapt

Use the customer's preferred contact channel. For an email, a subject such as “Your [job or visit] on [date]” makes the message easier to find. Avoid adding a promotion or a string of unrelated questions to the confirmation.

1. Confirming an agreed job

Hi [name], we've agreed [short job description] for [weekday and full date] at [site or workshop address]. I'll arrive [at time / between start and end time]. [One relevant access or preparation note.] If the arrangements change, please reply here so we can discuss them. Thanks, [your name / business].

Use a short description such as “painting the living-room walls” or “fitting the agreed internal doors”. Keep the agreed quote reference alongside it where useful. You do not need to paste the entire specification into the chat.

2. Offering a date when it is still undecided

Thanks for accepting the quote, [name]. I can offer [genuine available date and arrival window] for [job]. Would that suit you? We still need to agree the appointment, so I'll send the booking confirmation once we've settled the date and time.

Do not describe this as booked until the arrangement is agreed. If another detail prevents you from setting a date, explain that detail instead of offering a slot you cannot commit to.

3. Confirming a survey or assessment

Hi [name], our visit to assess [work being discussed] is arranged for [weekday and full date], arriving [time or window], at [address]. This visit is to check the job and discuss the next steps. [Any visit charge already explained and agreed.] Please reply if access or the timing changes. [Your name / business].

Delete the charge line when it does not apply. For a fault investigation, confirm the assessment without promising a diagnosis, replacement part or completed repair you have not yet established.

4. A useful reminder before the visit

Hi [name], a quick reminder about [job or visit] on [weekday and full date]. The agreed arrival window is [start to end time] at [address]. [Relevant agreed preparation.] Please let me know if anything has changed since we arranged it. See you then, [your name].

A reminder is useful when there has been a gap since booking or access needs checking. If you confirmed tomorrow's appointment this afternoon, another identical message that evening may add little. Choose a sensible time rather than sending routine reminders late at night.

5. Explaining an arrival delay

Hi [name], I'm running behind for today's [job or visit] and won't make the agreed [time or window]. I now expect [realistic revised window]. Sorry for the disruption. Will access still be possible then? If it won't work, let's arrange another suitable time.

If you cannot give a reliable revised time, say so and state when you will update them. Use a deadline you can meet. The Federation of Master Builders' Code of Conduct expects its members to keep clients informed about likely delays and agree written changes to work and extra costs. It is a member standard, and a useful reminder to communicate changes clearly.

6. Confirming an agreed reschedule

Hi [name], following our conversation, we've moved [job or visit] from [old date and time] to [new weekday, full date and arrival window]. The location is [address]. [Any agreed change to access.] I've updated my diary. Please reply if any of these details are incorrect. [Your name / business].

Send this after agreeing the replacement slot and updating your diary. If you are still proposing alternatives, ask which option works and keep the job's timing marked as awaiting agreement.

Update your diary and job record together

The customer message, calendar entry and job status should describe the same arrangement. After a booking agreed by phone or WhatsApp, use this quick checklist:

  1. Check the agreed details and send the appropriate confirmation.
  2. Add or update the appointment in the diary you actually use, including location and a useful job label.
  3. Mark the job as booked in your job tracker, with the known timing.
  4. Close the old “agree a date” task once it is resolved.
  5. Keep independent outstanding tasks visible, such as a finish choice or a requested addition.

For example, a decorator may have an agreed start date while the customer still needs to choose a paint colour. Record “booked” and “colour awaiting customer” separately. The colour question should not make the entire job look unbooked, and the booked label should not hide the colour question.

When rearranging, update the existing diary entry rather than leaving two active visits. Avoid copying long conversations into calendar titles; keep the fuller scope and supporting messages with the job.

Common questions about booking confirmations

Does “thanks” require another reply?

A straightforward acknowledgement of correct booking details usually needs no further admin message. A new question, changed date or extra request does. Read what the customer has said before restarting a reminder sequence.

Should I repeat the price?

Include the agreed quote reference or a confirmed amount if that helps the customer. Do not introduce new fees or assume a returning customer's usual price. Keep the agreed quote and any applicable terms with the booking record.

What if important details are still missing?

Ask the specific remaining question. If the missing information prevents you confirming the visit, say what needs agreeing first. Our pre-quote job checklist can help earlier in the process. For customers who have not accepted yet, use the separate quote follow-up guide.

Using Traden after you arrange the job

Traden brings suitable WhatsApp Business and Outlook enquiries together and can gather missing job details using your saved business information. You can take over a customer conversation when the arrangement needs your judgement.

When you have arranged the work yourself, Mark as booked records that decision and clears obsolete booking prompts while keeping independent outstanding requests visible. Send the customer confirmation and update your diary separately: the booked marker does not send that message or create a calendar appointment. Google Calendar sync is currently unavailable.
